Telegram for business: channel, bot, chat - where to start

· updated · Command CHBT · Telegram, Strategy

In Telegram, a business usually starts with a channel, because it’s understandable: you start it, you write posts. A month later, it turns out that requests are sent to the owner’s personal account, questions are repeated, and channel subscribers are not clients, but readers. Then someone starts a chat, someone a bot, someone all at once - and gets three tools without a role for each. Below is what the channel does, what the bot does, what the chat does, which of them should the three types of businesses start with, what to automate first, how to connect the channel with the bot through deep links, and what checkpoints will show that Telegram has started working and not just existing.

Three tools and their roles

In Telegram, a business has three entities, and each has its own communication mechanics. Mixing them is the main reason why “Telegram doesn’t work.”

ChannelBotChat (group)
Directionyou → everyoneone on oneall ↔ all
Who startsyouclientany participant
What does it give to business?reach, trust, reason to come backleads, responses, recording, contact databasecommunity, peer support, feedback
What is being automatedpublishing (third party schedulers)almost everything: scripts, data collection, transmission to the operatormoderation (third-party bots)

The channel speaks, the bot listens and responds, the chat discusses. A request is a one-on-one conversation, so its place is in the bot, and not in the channel comments or in the general chat. A post is a broadcast, so its place is in the channel, and not in the bot’s mailing list. The question “how is your delivery to Kazan?” from one client - bot; discussion “who ordered, how was it packaged?” between clients - chat.

The fourth essence is personal account owner or manager, which is where many people start. Telegram has a “Telegram for Business” mode for it with greetings and quick replies. CHBT does not connect to personal accounts: the designer works with bots. Your personal account remains for correspondence that you want to conduct yourself; the bot takes over the flow of typical requests.

Where to start: depends on how clients come to you

There is no universal order. The starting entity is determined by what “client wrote” means to your business.

Services with recording — salon, master, clinic, car service, tutor. The client comes with a specific intention: to make an appointment, find out the price, reschedule. He doesn’t need a channel, much less a chat. Start with a bot: text entry with confirmation by the administrator, prices by buttons, question to the operator. The channel can be added later as a place for work and promotions; the link from it leads to the same bot.

Shop, delivery, product. The client needs both a reason (new products, promotions) and conversation (availability, “where is my order,” return). Channel and bot together, and from the first day: in each channel post there is a link to the bot, the bot accepts leads and questions, and for those who opened the bot during registration, the operator writes about the status of the order from “Conversations” - the bot itself does not report the status. Chat - only when there is a community of buyers, usually not earlier than the second or third month.

Expert, school, consulting. It sells trust, so the channel is primary - it is the product before the purchase. But leads and lead magnets are not collected through the channel, but are lost through comments. Channel first, bot - in the first two weeks: issuing materials for a contact, signing up for a consultation, segmenting subscribers by interests through different links in posts. Chat is for students after purchase, not for leads.

General check: if you don’t have an answer to the question “where will the client click to leave a request,” you need to start with a bot, regardless of the type of business. What types of telegram bots there are by task and in what ways they are done is discussed in the article about types of Telegram bots for business.

What to automate first: three tasks in order of impact

The temptation is to automate everything that is possible. The opposite works: three tasks that pay off in the first week, the rest as data accumulates.

1. Receiving requests outside of working hours. The fastest return, because it covers direct losses: the person wrote at 22:00, did not receive a response, and left. The bot confirms receipt, names the deadline, asks the essence of the question, puts a tag and transfers it to the operator by morning. In CHBT this is the “Condition” block by time of day and day of week, “Data collection”, “Operator”. Assembled in the evening - the scheme is described in the article about autoresponder in Telegram.

2. Applications. Replacing the “leave your phone number” form with a conversation: first, select with buttons (service, type, term), then a name, then a contact with an explanation of where it is needed. The “Data Collection” block checks the telephone and mail format, the “Action” tags and opens a deal in the “CRM” section, and a letter is sent to the owner by mail. The “Collection of Applications” template is a ready-made basis.

3. Typical questions. Five to seven questions that everyone asks: prices, schedule, address, delivery, payment. Trigger “Keyword” with spelling options and regex - and the response comes instantly, and the operator does what the person requires. The answer to everything else is “Any message” → “Operator”, not “I don’t understand”.

What not included in the top three: broadcasts (there is no database yet), AI agent (there is no knowledge base yet), integration with CRM (there are not enough applications yet to understand what fields are needed). This is the second month.

Link channel → bot: deep links

The channel and the bot are connected by one special link: https://t.me/bot_name?start=payload. A subscriber taps it in a post, opens the bot, and the “Deep link” trigger fires in CHBT with this payload — the flow starts right at the right place: delivering material, a request form, an answer on the post’s topic.

Three consequences that shape how to run the channel:

  • A link to the bot in every post with an action. “More from the bot”, “Sign up”, “Get the checklist”. A post without a link is a post with nowhere to go.
  • Different payloads — different tags. A post about service A gives ?start=post_a and the tag a, a post about service B — its own. In “Contacts” the tags show which topic brings people into a conversation. That’s channel statistics the channel itself doesn’t have.
  • Channel subscriber ≠ bot contact. A bot can’t message a person until they’ve opened it themselves — a Telegram rule. So the base for broadcasts and notifications is built only through clicks from the channel, the website and QR codes, and you should start building it from the first post.

The full set of what the bot does for a channel — lead magnet, requests from posts, subscriber FAQ, segments, broadcasts to those who opened the bot — and an honest list of what it doesn’t do (doesn’t post or read comments) is in the article what a bot can do for a Telegram channel.

Chat: when you need it and how not to turn it into a landfill

A business needs a Telegram group in two cases: as comments on a channel (a discussion group linked to a channel) and as a closed community of clients - course students, buyers, program participants. In other cases, the chat creates the work of a moderator and does not create requests.

If you set it up, there are three settings at once: banning links to participants, slow mode, two administrators with the right to delete. And pinned with the rules and a link to the bot: “Questions about ordering and price - in the bot’s PM, here is a discussion.” This way, the chat remains for the community, and transactions go into one-on-one conversation.

About the chat bot. The CHBT bot works in private messages and is not added to the group - it does not moderate, does not respond to comments, and does not read them. The lead from the comment is taken with a deep link under the post or a code word in the bot’s personal message; The procedure for including comments and all three ways to transfer them to a bot are in a separate article about comments in the Telegram channel. To moderate a group, hire a specialized moderator bot; he lives quietly nearby.

What not to do in the first month

  • Do not build payment inside the bot. The lead from the bot goes to the manager, and the invoice is issued in the usual way; the “Payment” block with a link to your provider and the shop in your bot can be turned on later. This is enough for the first month - first you need to understand what people are buying through Telegram.
  • Do not include the AI agent before the knowledge base. The agent responds based on your text: description of services, prices, conditions, frequently asked questions. Without it, he will politely not know. Collect questions from the first hundred conversations - they will become the base.
  • Do not send broadcasts to a “cold” base. People who opened the bot for one file weren’t expecting emails from you. The first mailing is sent to those who have clearly agreed (the “Consent to mailing” template is tagged), and not before there are at least a few dozen of them.
  • Don’t expect Telegram Business to do what the bot does. Automatic replies in a personal account - one static message. A script with buttons, collecting an lead and transferring it to several operators is a bot.
  • Don’t spontaneously transfer your audience from social networks. “We are now on Telegram, subscribe” without a link to the bot and without a reason to switch almost doesn’t work. You need a link: link in the header → bot → material or selection of products for contact → channel. How to build a transition so that people get there - in the article about transferring subscribers to Telegram and MAX.

Budget, people, time

Money. The channel and chat are free. Bot on CHBT - Free plan: one bot, all channels (Telegram, MAX, VKontakte, widget on the site), one operator, 30 conversations per month, “Steps” editor. This is enough to test the idea and make the first applications. Basic — 650 ₽ per bot per month: no conversation limit, “Canvas” with branches, broadcasts, AI agents (150 credits), unlimited operators. Business - 1290 ₽: 500 AI credits per month instead of 150. More details at Plans page. The transition to a paid plan is needed at the moment when you hit 30 conversations, you need a second operator, “Canvas” for a branching scheme or mailing - usually this is the second or third week. The “Condition” and “Pause” blocks, including a fork in time of day, are also available on Free in the “Steps” mode.

People. The minimum is one person who responds to conversations transmitted to the operator. In CHBT he has the “Operator” role in the “Access” section: he sees “Conversations” and “Contacts”, does not touch scripts and payments. The owner collects the script and watches “Analytics”. If it's the same person, that's fine to start with; The account is installed on the phone as an application, notifications are received by Web Push when the tab is closed.

Time. Create a bot from @BotFather and connect it in the “Channels” section – ten minutes. Customize the template for yourself - evening. The first version of the answering machine and accepting applications is weekends. The channel takes an hour to design and then constant work. Most of the time is spent not on setup, but on texts: what to respond to each button. Collect them in advance in one document - this will also be the future knowledge base for the AI agent.

Launch checkpoints

Instead of a daily plan, there are five results that should happen. The order is important: each next one builds on the previous one.

  1. The bot responds to /start with the correct greeting. Checking on your phone: three lines, two or four buttons, among them - access to a person. The link to the bot is in the channel description, profile and website.
  2. First lead in “Contacts”. Not test - from the client. With name, format-checked phone number, and source tag. The lead letter arrived in the mail.
  3. The first conversation of the night was broadcast in the morning. Someone wrote after 20:00, received confirmation and a deadline, the operator responded in the morning from his office and closed the conversation. This means that the answering machine is working and no one is lost.
  4. The first post with a deep link gave tags. People with the post tag appeared in “Contacts” - the link channel → bot is working. If after three posts there are no tags, the problem is in the wording of the call or in the place of the link, not in the bot.
  5. First mailing by tag (Basic plan) - to those who agreed, with one specific reason. There are few delivery errors: the mailing went to those who were waiting for it.

A week usually passes between points 2 and 3, and a month until point 5. If you are stuck at point 1 for more than three days, most likely there is a connection problem: check the token, webhook and whether the script is enabled according to the checklist in the help.

What to watch in a month

After a month, you have data, and decisions can be made based on it, not on feelings.

  • Dashboard in Analytics: incoming and responses from the bot and the operator by day for 14 days, conversations by channel for 30 days, the number of conversations that are waiting for the operator. If on the chart the operator answers more often than the bot, the bot does not close the typical one, you need keywords or buttons for frequently asked questions. If the operator hardly responds, check whether people have access to the person: perhaps the bot is too closed and they leave silently.
  • “Contacts” by tags: where people come from (post, website, QR), what topics collect leads. This is the answer to the question of what to write about next in the channel.
  • “Conversations” - what is asked in text past the buttons. This is a list for the following keywords and for the AI agent's knowledge base.
  • Conversation counter “N out of 30” on the “Overview” page of the bot is a signal to switch to Basic before the bot starts responding to new clients with a phrase about the limit.

And one question for the second month: is a second messenger needed? Some clients are already writing to MAX; in CHBT it connects to the same bot without transferring the script - one project, one “Contacts”, one inbox. Make your decision about the second channel based on the data: if in “Conversations” people write “are you in MAX?” - There is.
