Kindergarten bot: parents get answers, teachers get their hands free

Parents write to the kindergarten bot in MAX, VK or the website chat and get an instant answer about the routine, fees and medical notes. A “my child won’t come” message with the name, group and dates reaches the teacher as a notification, and from the Basic plan an AI agent takes free-form questions about the kindergarten’s regulations and contract.

What the bot does for a kindergarten

Answers to frequently asked questions

Routine and address, fees and recalculation, illness and medical notes — by button. The answers are your rules as text: if the payment deadline changes, you edit one step and the answer updates in every channel.

“My child won’t come”

A button or the words «не придёт», «заболел» (“won’t come”, “got sick”): the bot asks for the name, group, dates and reason, sends operators a notification and replies to the parent “we’ve told the teacher”. The tag «отсутствие» (“absence”) stays on the contact card.

Answers from the kindergarten’s documents

From Basic an AI agent gives free-form answers based on the internal rules, contract and memos: up to 15,000 characters of text. No answer in the documents — the conversation goes to a staff member.

AI in Russia

A bot created with the kindergarten template works in “AI in Russia” mode from the start: the AI agent answers on Yandex models, requests are processed in Yandex Cloud, Yandex request logging is turned off. Foreign models are not used in such a bot; the mode does not by itself guarantee that data processing complies with 152-FZ.

Announcements to parents

A parents’ meeting, a holiday party, a quarantine — as a broadcast by tag from Basic. Text only and only to those who have already written to the bot: the announcement doesn’t get lost among “thank you” messages in the group chat.

Staff reply in the same chat

“Call a person” moves the conversation to Conversations: the head or senior teacher replies where the parent wrote — in MAX, VK or the website chat.

How to launch a kindergarten bot

  1. 1

Create a bot with a template

The “Use the kindergarten template” button leads to sign-up: the bot is created with the “Kindergarten parent assistant” template and the editor opens. Already have a bot? Flows → “All templates and AI”.

  2. 2

    Fill in the kindergarten’s rules

Replace the placeholders in “Routine and address”, “Fees”, “Illness and medical notes” with your own: drop-off hours, payment deadlines, after how many days a medical note is needed. Buttons are added in the same block.

  3. 3

    Connect MAX and VK

Channels → “MAX” — the bot works via the MAX for Business platform API; “VK” — the bot replies in the kindergarten community’s messages. The website chat is added in the Widget section with one line of code.

  4. 4

    Share the link with parents

Pin the bot link in the group chat and on the kindergarten’s VK page. The bot writes only to those who started the conversation themselves, so parents need to tap “Start” once.

Ready flow: parent assistant

A topic menu with answers based on the kindergarten’s rules, “My child won’t come” with name, group and dates as a notification to teachers, “Call a person” — to Conversations. Replace the answer texts with your own.

Kindergarten parent assistant Daily routine, fees, illness and medical notes by button; “My child won’t come” sends the name and dates straight to the teacher. Open →

Public or private kindergarten: which channels to connect

When providing public and municipal services and performing a state assignment, the law restricts the use of foreign messengers for transferring citizens’ personal data and payment information (Part 8 of Article 10 of Federal Law 149-FZ). The rule does not introduce a general ban on all communication, but in the bot a parent writes the child’s name and the reason for absence, and their messenger ID may also be personal data. So for official communication with parents we recommend MAX, VK and the website chat to a public kindergarten — all three run on one flow. In its letter No. VZh-2122/15 of October 28, 2025, the Ministry of Education gives examples of Russian services that can be used for communication with participants in educational relations: VK, Odnoklassniki, RUTUBE, MAX. If the kindergarten has an official VK community, the bot can be connected to it. A private kindergarten can add Telegram too.

The bot doesn’t replace the group chat in Sferum or MAX: it works in a private dialog with the parent and takes over the repetitive questions that otherwise reach the teacher’s private messages all day. CHBT’s main servers and database are located in Russia (Moscow); Telegram messages pass through our node abroad.

  • MAX — via the MAX for Business platform API: text and buttons, one button per row.
  • VK — the bot replies in the community’s messages, up to 10 buttons per message.
  • Website chat — one line of code; files and images work only here.
  • One enabled flow answers in every connected channel.

AI answers from the kindergarten’s documents and “AI in Russia” mode

The “Answers from documents” template passes a parent’s question to an AI agent. Its knowledge base takes TXT, MD, CSV, PDF or DOCX — up to 15,000 characters per agent, which is a few pages. Kindergarten regulations on websites are often signed scans, and a scan without a text layer won’t upload: make a summary handbook — routine, fees and recalculation, medical notes, what to bring, adaptation, contacts. If the documents have no answer or the agent isn’t sure, the bot writes “I don’t have an exact answer — I’ll pass your question to a staff member” and moves the conversation to Conversations.

Bots created with the kindergarten, school and club templates work in “AI in Russia” mode from the start. In such a bot, AI agent replies, intent recognition and flow building are handled by Yandex models: Alice AI LLM Flash by default, YandexGPT 5.1 Pro as an option. Requests are processed in Yandex Cloud, Yandex request logging is turned off, and foreign models are not used. The mode restricts the AI agent’s requests to Yandex models but does not by itself guarantee that all processing complies with 152-FZ — the legal grounds are determined by the kindergarten. The mode is turned on and off on the “AI agents” page. An Alice AI LLM Flash reply costs 1 AI credit, the same as the default models outside the mode: on Basic (150 credits) — up to 150 replies a month, on Business (500) — up to 500. YandexGPT 5.1 Pro costs 3 credits per reply. The button menu and “My child won’t come” don’t use credits.

Put only the kindergarten’s public rules into the knowledge base: no lists of children, phone numbers or diagnoses. It helps to ask parents in the greeting not to send medical notes or write diagnoses in the chat.

Announcements, consent and who sees the messages

Announcements. To send an announcement to one group, parents need a group tag: add a “Message” with group buttons to the flow, each leading to “Action” → “Add tag”, for example группа-солнышко (“group-sunshine”). The broadcast is created in Broadcasts → “New broadcast”, with the group tag in the “To” field. Broadcasts go to Telegram, MAX and VK; they don’t reach the website chat.

Consent. Since September 1, 2025, consent to personal data processing in Russia is given separately from other documents, and a parent gives it on behalf of the child. What this looks like in a flow — a separate question naming the operator, the data, the purpose, the term and how to withdraw, with the buttons “I agree” and “No” before any data is collected — is shown in the “Kids’ club and sports class sign-up” template. The button does not confirm that the child’s legal representative tapped it; some kinds of processing may require written consent. Kindergarten announcements — a changed timetable, a meeting, the menu — are usually not advertising; advertising a private kindergarten’s paid clubs needs separate consent naming the sender — the “Consent to the newsletter” template. More about data in a bot — in the article on 152-FZ and chatbots.

Who sees it. Flow notifications reach every operator of the bot — in the open dashboard and as a push notification if the staff member has enabled it. Teachers and the head are invited in the “Access” section from the Basic plan; on Free there is one operator — the owner.

What the kindergarten bot doesn’t do

The limits are clear before you launch.

  • Doesn’t know the invoice amount, debt or compensation: there is no link to 1C or accounting. The bot explains the procedure, and the accountant names the amount in Conversations.
  • Doesn’t put children on the waiting list or enroll them: that’s Gosuslugi and the regional portal. The bot can give instructions and a link as text.
  • Doesn’t write to the group chat and doesn’t write first: it replies in a private dialog to those who started the conversation with the bot themselves.
  • Doesn’t send photos or files in MAX, Telegram and VK: menus, timetables and memos go as text or a link. Files work only in the website chat.
  • A broadcast is text only, without images or buttons; there are no recurring broadcasts, only “Delayed start”.
  • “My child won’t come” messages don’t go into the attendance sheet: they are visible in notifications, Conversations and on contact cards with the tag «отсутствие» (“absence”).

Available plans

FAQ

Can a public kindergarten use a bot in Telegram?

The law does not directly ban all communication via Telegram, but when performing a state assignment it restricts transferring citizens’ personal data via foreign messengers — and in the bot parents write the child’s name and the reason for absence. So for official communication we recommend MAX, VK and the website chat to a public kindergarten — one flow serves every channel. A private kindergarten can add Telegram.

How does the teacher find out that a child won’t come?

The parent taps “My child won’t come” or writes «заболел», «не придёт» (“got sick”, “won’t come”). The bot asks for the name, group, dates and reason and sends a notification to every operator of the bot. Invite teachers in the “Access” section — available from the Basic plan.

Where do parents’ questions go if AI is on?

A bot with the kindergarten template works in “AI in Russia” mode: the AI agent answers on Yandex models — Alice AI LLM Flash by default, YandexGPT 5.1 Pro as an option; requests are processed in Yandex Cloud, Yandex request logging is turned off, and foreign models are not used in such a bot. CHBT’s main servers and database are located in Russia (Moscow). The mode only restricts the choice of models and does not by itself guarantee that data processing complies with 152-FZ.

Can I upload the kindergarten’s regulations if they are a scan?

A scan without a text layer won’t upload. You need a PDF with text, a DOCX or text typed in — up to 15,000 characters per agent. A summary of a few pages works best: routine, fees, medical notes, what to bring, contacts.

How many AI replies will last a month?

In “AI in Russia” mode an Alice AI LLM Flash reply costs 1 credit: on Basic (650 ₽, 150 credits) — up to 150 replies, on Business (1,290 ₽, 500 credits) — up to 500. A YandexGPT 5.1 Pro reply costs 3 credits. The button menu and “My child won’t come” don’t use credits — it pays to cover frequent questions with buttons.

Will the bot replace the group chat in Sferum?

No. The group chat stays for announcements and conversation. The bot works in a private dialog and takes over the repetitive questions that parents otherwise send to the teacher privately.
