Chatbot for beauty salon and barbershop

The salon’s bot in Telegram, MAX, VKontakte and on the website makes an appointment with the specialist without calling, reminds about the visit, after the visit asks for an assessment - the dissatisfied ones are immediately passed on to the administrator - and calls the client for a repeat procedure.

Template "Customer registration"Recording, reminders and reviews - on FreeNewsletters and AI - from Basic

What does the bot do for the salon?

Make an appointment with a specialist without calling

Service and master - with buttons, convenient time - with text, telephone - with format check. The bot puts a service tag, creates a deal in CRM and sends a push to the administrator, and the owner receives a letter about the lead on the first phone number.

Visit Reminder

Immediately after the appointment, the client notes when the visit is, and “Pause” sends a reminder to the same chat. The answer “reschedule” goes to the administrator before the visit, and does not result in a no-show.

Post-visit assessment

Every other day, the bot asks for a rating from 1 to 5. Those who give 4–5 receive a “Leave a review on the map” button, and 1–3 receive a question “what went wrong” and an administrator in “Conversations.” The bot itself does not publish reviews anywhere.

Return for a repeat visit

The service tag set when recording is a ready-made audience: in three weeks, “it’s time to update your manicure.” The answer “sign up” starts the recording again, without a call and without a discount to the entire database.

Administrator in one window

Applications and questions from Telegram, MAX, VKontakte and chat on the site are collected in “Conversations”, the answer goes to the client in his messenger. The office is installed on the phone as an application - there is no need for a computer behind the counter.

Prices and frequently asked questions

Price, address, parking - with buttons and “Keywords” on any plan. From Basic, free-form questions, for example, “how much does coloring cost for long hair,” are answered by an AI agent based on your knowledge base.

How to launch a bot for a salon

  1. 1

Create a bot with a template

The “Use record template” button leads to registration: the bot is created immediately with the “Customer record” template, and the editor opens. There is already a bot - “flows” → “All templates and AI”.

  2. 2

Adjust the steps to fit the salon

Replace the service buttons with your own and add a step with wizards. In the “Time” step, fill in “Into variable”: slot, in “Action” add “Transaction in CRM”, and make the text “Notify operator” more detailed.

  3. 3

    Connect the channel

“Channels” → “Telegram” → “Connect”, token from @BotFather → “Connect Telegram”. MAX and VKontakte are connected there and work according to the same flow, chat to the site - the “Widget to the site” card.

  4. 4

Check it out and provide a link

“Check script” opens a test chat without spending the limit; There are no buttons in it - check them in Telegram. The link to the bot is in the profile header, the QR from the “QR campaigns” is in the mirror and on the counter.

Ready script: recording clients

Service with a button, convenient time by text, phone number with verification, tag “recording” and notification to the administrator. Replace the services with yours, add specialists, reminders and assessments in the steps below.

Appointment requests Service, day and time as text, phone, notification to you. Open →

Recording: from service button to confirmation

The “Appointment requests” template already includes a service selection with buttons, time as text, phone and an administrator notification. For a salon, it is extended with the same blocks — in “Steps” mode on any plan or on the “Canvas” from Basic.

TaskFlow blockWhat matters
Service“Message” with the buttons “Haircut”, “Coloring”, “Manicure”, “Pedicure”, “Brows and lashes”; each leads to “Action” → “Add a tag”, for example svc-manicureIn the template all buttons lead to one step; split them so each service has its own tag. It is later used to invite clients back for a repeat visit
Staff member“Message” with staff member buttons and “Anyone available”; each button → “Action”: “Set a variable” master and “Add a tag” staff-annaWrite the value in the form it will take in the text: “Anna”, “your stylist” — then “How was your visit with {{master}}?” reads naturally. VK allows up to 10 buttons per message: if you have more staff members, skip this step and the administrator will clarify
Preferred timeThe template’s “Data collection”: “Preferred day and time, as text”, “Save to variable” — slotWithout “Save to variable”, {{slot}} in the reply will be empty. Do not add format validation: clients write “Saturday after three”
Name and phone“Data collection” → “Name”, then “Phone” with “Phone” validationOn an invalid number the bot asks again; after the last attempt the flow continues without a number
Request“Action”: “Add a tag” booking, “CRM deal” titled “Booking: {{name}}, {{slot}}”, “Notify an operator” with the same textThe deal lands in the “New” column of the “CRM” section, the administrator gets a push notification, and the owner receives a lead email if the bot received this client’s phone number for the first time
Reply to the client“Message” without buttons: “We’ve received your request: {{slot}}. The administrator will confirm the time in this chat”Do not write “you’re booked”: the time is not confirmed yet

CHBT has no staff calendar. The bot does not check whether Anna is free on Saturday at 15:00; the administrator does that in “Conversations” or in your scheduling software. If the salon keeps its schedule in YCLIENTS, use the “YCLIENTS booking” block: the bot shows services with prices, staff members and available times from the salon’s online booking and creates a booking directly in the schedule — how to connect. There is no connection to other scheduling software: the bot remains the entry point for people who message you, and the slot is entered in your system. For those who want to pick a time themselves, add an “Opens a link” button to your online booking page. A coloring deposit can be taken with the “Payment” block in a flow: it sends a link to your provider — Prodamus, YooKassa or CloudPayments — and after payment continues the flow through the “Paid” output. Or the client pays it via a link to the website’s payment page, on site, or through the shop in your bot if you add the service there.

Reminder and evaluation: chain after recording

The bot does not know the exact visit time; the administrator confirms it. But the reminder and the rating question can be continued in the same flow, without integrations:

  1. When is the visit. Right after the confirmation message — a “Message” “When is your visit? We’ll remind you in advance” with the buttons “Tomorrow”, “Day after tomorrow”, “In 3 days”. Ask right away while the bot is handling the conversation: once the administrator replies, the conversation passes to them, and until “Return to bot” the bot does not respond to buttons.
  2. Pause. Each button leads to its own “Pause”, for example 20, 44 and 68 hours (in the “Custom duration, seconds” field: 72,000, 158,400 and 244,800). The countdown starts from the click, not from the visit time: if clicked at 15:00, the reminder arrives at 11:00 on the day of the visit.
  3. Reminder. A “Message” without buttons: “{{name}}, we look forward to seeing you today. If you can’t make it, reply “reschedule” and we’ll find another time”. The reply is caught by a separate flow with a “Keywords” trigger (reschedul, “Contains a word”) → “Notify an operator” → “Operator”.
  4. Rating. A “Pause” of 1 day and 4 hours (100,800 seconds) → “Message” “How was your visit with {{master}}? Rate it from 1 to 5” with the buttons “5”, “4”, “3”, “2”, “1” and “Visit was rescheduled”. In Telegram and MAX buttons are one per row, in VK two per row, so keep labels short.
  5. Branching. “5” and “4” → “Message” with a thank-you and an “Opens a link” button “Leave a review on the map” → “Action”: tag loyal. “1”–“3” → “Data collection” “What went wrong? The administrator will reply right here” → “Action”: tag negative, “Notify an operator” → “Operator”. “Visit was rescheduled” → “Operator”.

Low ratings stay internal — in the administrator’s “Conversations”, not on the map: you can reply to the client the same evening and offer to make it right. The bot cannot hide a review; the client can still post wherever they want, you just learn about the problem first. A ready-made base for this branch is the “Collecting reviews” template: there the rating is typed as a number, and a “Condition” on the score variable adds the negative tag for 1–3 and hands the conversation to the administrator. In “Contacts”, filtering by the negative tag shows unhappy clients, and the staff member tag on their cards shows whom they visited.

Precise reminders are available from Basic. After confirming the time, the administrator opens the client via the “Open” link in the “Conversations” card and adds a day tag in “Contacts”, for example visit-2026-10-03; this can be done by the owner or a team member with the “Admin” role. The day before, a broadcast to this tag is created in “Broadcasts” with “Scheduled start” at 19:00; it will reach Telegram, MAX and VK, but not website chat. This is more reliable for morning visits and bookings a week ahead. Diagrams of such sequences are in the article on trigger sequences.

  • Branches and “Pause” work in the “Steps” mode on the Free plan.
  • The message before “Pause” is without transition buttons: on such buttons the script stops and waits for a click.
  • The “pause” is not cancelled: if the client reschedules the visit, the question about the assessment will still come on time - for this purpose the “Visit rescheduled” button.
  • Having finished with the client, click “Return to bot” in “Dialogs”, not “Close”: while the conversation is with the administrator, the bot is silent, and after “Close” it will not process clicks on the rating buttons.
  • The reminder goes only to those who wrote to the bot themselves: the bot will not write to those who signed up by phone.

Customer return, channels and launch procedure

Return. Manicure is usually renewed once every three to four weeks, coloring - once every one and a half months. There are two ways to call a client on time:

  • In the thread of ratings “5” and “4” - “Pause” for 21 days (1,814,400 seconds) and “Message” “Is it time to update your manicure? Write to {{master}}?” with the “Register” button, which leads to the first registration step. It works on any plan, but those who have not responded to the assessment will not get to this step.
  • Mailing by service tag - from Basic: “Mailouts” → “New mailing”, in the “To” field - usl-manicure. In order to write specifically to those who visited three weeks ago, the administrator adds a week tag when confirming, for example manicure-w38, and once a week the newsletter goes to a tag that was three weeks old. Text: “{{name}}, three weeks have passed - it’s time to update your manicure. Reply “make an appointment” and we’ll find a time.” The word “enroll” launches the post template: it has a trigger “Keywords” “record”, “enroll”.

In broadcasts, only {{name}}, {{phone}} and {{email}} are substituted - variable master It doesn't go there from the script. There are no pictures or buttons in the newsletter, please write the link to the new service in text. The newsletter goes to Telegram, MAX and VKontakte - it does not reach chat visitors on the site. Don’t send out “20% discount on everything” to your entire base: those who already go once every three weeks don’t need a discount, and the margin is lost. How to tag a database without dumping - in the article about tags as a segmentation system.

Channels. Main - Telegram: link to the bot - in the profile header and on the business card, QR from “QR campaigns” - in the mirror and on the counter. MAX is connected in “Channels” and works according to the same flow. On VKontakte, the bot replies in personal messages to the community with the works of masters. Placed on the site chat in one line of code: a form with a phone number before the conversation begins and a proactive message on the pricing page - a ready-made rule “On the pricing page.” Subscribers from social networks where the bot is not present are referred to a link with a label t.me/your_bot?start=soc: The script with the “Deeplink” trigger puts the source tag on this tag as the first step. On VKontakte, tags from links are not read, and the section makes QR codes only for Telegram. More details in the article about transferring subscribers to Telegram and MAX.

Prices and questions. The bot gives the price for services, duration of procedures, address and parking with buttons and “Keywords” at any plan. Takes free-form questions from Basic AI agent according to the knowledge base up to 15,000 characters; The default answer for models is one AI credit, more expensive on powerful models. Skincare cosmetics, if the salon sells them in an online store, can be selected AI seller (also from Basic) on the store feed: price and availability - from the catalog (there is no sign of availability in the feed - the bot says “to be confirmed”), the “Open product” button leads to the store. The price list for services is not suitable for the seller - it is calculated for goods.

  • Week 1 – post from template and Telegram.
  • Week 2 – reminder via “Pause”.
  • Week 3 - assessment question and threads on it.
  • Month 2 - service tags and the first mailing about a return visit.
  • The newsletter goes out to everyone who has any of the tags in the “To” field - no faster than about 20 messages per second.

What a salon bot doesn’t do

The limits are clear before you launch.

  • It does not keep its own calendar: CHBT has no staff or slot schedules. In the template, the client types the time, and the administrator confirms it in “Conversations”; the bot shows available slots only from YCLIENTS, with the “YCLIENTS booking” block.
  • Not connected to booking software other than YCLIENTS: bookings are not transferred to other systems, and an administrator sets the time slot. You can open your system's online booking with an “Opens link” button.
  • The bot will not know about a payment made via a link to the website page or on site. For it to know, take the deposit with the “Payment” block in a flow through your provider — Prodamus, YooKassa or CloudPayments: after payment the flow continues through the “Paid” output. A service can also be sold through a storefront — the shop in your bot.
  • Doesn’t write first: reminders, questions about ratings, and broadcasts only reach those who wrote to the bot themselves. It is impossible to download numbers from the salon magazine and write on them - why can't the bot write first?.
  • Doesn’t publish reviews or respond to them on cards: the bot gives a link, the client leaves the text himself.
  • Does not send photos of works to Telegram, MAX and VKontakte: portfolio - a link to a site or community. Files and pictures work only in the chat on the site, mailing is only text.

FAQ

Is there a masters calendar?

CHBT has no calendar of its own. In the template, the client chooses a service and staff member with buttons and types a preferred time, and the administrator confirms the slot in “Conversations” or in your scheduling software. Available slots and booking into the schedule are only available with YCLIENTS, via the “YCLIENTS booking” block.

How will the bot remind you of a visit if it doesn’t know the time?

Immediately after making an appointment, the client clicks “Tomorrow”, “The day after tomorrow” or “In 3 days”, and a “Pause” of the required length sends a reminder on the day of the visit. The countdown starts from pressing, so the time is approximate. More precisely, from Basic: the administrator sets the tag of the day, and the mailing for it goes out the night before.

Does the bot work with YCLIENTS?

Yes, with the “YCLIENTS booking” flow block. The bot shows the salon’s services with prices, staff members or “Any staff member”, and available days and times from YCLIENTS online booking, asks for a phone number if it doesn’t have one yet, and creates a booking directly in the schedule. Before the visit, the bot can send a reminder in the same chat, 24 hours ahead by default; if the booking is canceled in YCLIENTS, no reminder is sent. Set it up in the “YCLIENTS” section of the dashboard: the salon’s online booking link and a partner token from the YCLIENTS developer account. There is no connection to other scheduling software: there, the administrator enters the slot in your system.

Is it possible to take an advance payment in the bot?

Yes: the “Payment” block in a flow sends the client a deposit link through your provider — Prodamus, YooKassa or CloudPayments — and after payment the flow continues through the “Paid” output, where you can thank the client and create a deal at the “Paid” stage with the “CRM deal” action. If you take the deposit via a link to the website page or on site, the bot does not know about the payment — the administrator moves the deal. A service can also be sold through the shop in your bot — a storefront with payment via YooKassa or CloudPayments.

Will bad reviews get on the map?

The bot invites only those who give 4 or 5 to the map. Ratings 1–3 go to the administrator in “Conversations” with the tag “negative” - he can answer and offer to correct it. The bot cannot prevent a client from writing a review, but you will be the first to know about the problem.

Will the bot write to clients who have never written to it?

No. Messengers allow the bot to write only to those who themselves started the conversation, so it is impossible to remind about a visit using a number from the magazine. Transfer clients to a bot at the counter: QR from “QR campaigns” at the mirror or ask them to write a “record” to the bot.

Is the Free plan enough?

To start and check a recording, reminder and rating - yes: 1 bot, all channels, “Steps” mode with “Pause” and threads, 30 conversations per month. Mailings about return visits, AI agent and administrator access to the account - from Basic, 650 ₽ per month for the bot.
