School chatbot: certificates, timetable and answers to parents
Parents write to the school bot in MAX, VK or the website chat: they order a proof of enrollment, check the bell schedule, the first-grade admission procedure and the list of clubs. A certificate request with the student and class reaches the secretary as a notification, and repetitive questions no longer distract class teachers.
“School certificates and timetable” templateWorks without AI, on FreeMAX, VK and the website — for a public school
What the bot does for a school
Certificate request
Type by button — “Proof of enrollment” or “Other” as text — then the student’s last name and class. The secretary gets the notification “Certificate (type): student, class”, and the parent gets the ready date and pick-up place you fill in.
Schedule and frequently asked questions
Bell schedule, first-grade admission, clubs and sports — by button. The answers are your text: if the timetable changes, you edit one step and the answer updates in every channel.
Answers from the school’s documents
From Basic an AI agent gives free-form answers based on the school’s rules, regulations and memos — up to 15,000 characters of text. No answer in the documents — the question goes to a staff member.
AI in Russia
A bot created with the school template works in “AI in Russia” mode from the start: if you add an AI agent, Yandex models in Yandex Cloud will answer, Yandex request logging is turned off, and foreign models are not used; the mode does not by itself guarantee that data processing complies with 152-FZ.
Announcements by class
A parents’ meeting, a trip, a timetable change — as a broadcast by class tag from Basic. Text only and only to those who have already written to the bot.
Staff reply in the same chat
“Call a person” moves the conversation to Conversations: the secretary or deputy head replies where the parent wrote. While a staff member has the conversation, the bot stays silent.
How to launch a school bot
-
1
Create a bot with a template
The “Use the school template” button leads to sign-up: the bot is created with the “School certificates and timetable” template and the editor opens. Already have a bot? Flows → “All templates and AI”.
-
2
Fill in the school’s details
Replace the placeholders for the bell schedule, first-grade admission and clubs, and in the message after a request — the certificate ready time and pick-up place.
-
3
Connect MAX and VK
Channels → “MAX” — the bot works via the MAX for Business platform API; “VK” — the bot replies in the messages of the school’s community, for example its official page. The website chat is in the Widget section, if the website platform allows adding code.
-
4
Share the link with parents
Put the bot link in the pinned post of the school’s community, on the website and in class chats. The bot writes only to those who started the conversation themselves, so a parent taps “Start” once.
Ready flow: certificates and timetable
School menu, a certificate request — type, student and class — as a notification to the school office, placeholders for the bell schedule, first-grade admission and clubs. No AI: works on any plan.
School certificates and timetable Certificate requests to the school office, bell schedule, first-grade admission and clubs — no AI, for MAX and VK. Open →Alongside Sferum, not instead of it
Class chats, calls and the e-diary stay in Sferum. The CHBT bot is a separate school bot in MAX and VK: it works in a private dialog with the parent and takes over repetitive questions to the secretary and class teachers — certificates, the bell schedule, admission, clubs. The bot doesn’t post in class chats and is not Sferum.
When providing public and municipal services and performing a state assignment, the law restricts the use of foreign messengers for transferring citizens’ personal data and payment information (Part 8 of Article 10 of Federal Law 149-FZ); a parent’s messenger ID may also be personal data. So for official communication with parents we recommend MAX, VK and the website chat to a public school. In its letter No. VZh-2122/15 of October 28, 2025, the Ministry of Education gives examples of Russian services for communication with participants in educational relations: VK, Odnoklassniki, RUTUBE, MAX. Schools covered by Part 1.1 of Article 10 of Federal Law 8-FZ create official pages in the established manner (there are exceptions); if the school has an official VK community, the bot can be connected to it. A private school can add Telegram. CHBT’s main servers and database are located in Russia (Moscow); Telegram messages pass through our node abroad.
- MAX — via the MAX for Business platform API: text and buttons.
- VK — in the school community’s messages, up to 10 buttons per message.
- Website chat — one line of code, if the website platform allows adding code.
- One flow answers in every connected channel.
Certificates, first-grade admission and clubs: how the flow works
The “School certificates and timetable” template already includes the menu and the certificate request. Everything else is added with the same blocks.
| Task | Flow block | What matters |
|---|---|---|
| Certificate | A “Message” with certificate type buttons → “Data collection” for student and class → “Action”: tag справка (“certificate”), “Notify operator” | The school office prepares the certificate; the bot takes the request and gives the ready date |
| First-grade admission | A “Message” with text and a link to the admission page | Applications are filed via Gosuslugi; the bot doesn’t accept them or put anyone on a list |
| School clubs | A “Message” with the list; sign-up — with the “Kids’ club and sports class sign-up” template | The bot doesn’t know places or the timetable: the club leader confirms the time |
| Announcements to a class | A “Message” with class buttons → “Action” “Add tag”, for example класс-5б (“class-5b”) | Broadcast by tag — from Basic |
| Question to a staff member | “Call a person” → “Operator” block | The conversation goes to “Waiting for an answer”, the bot stays silent until “Return to bot” |
AI answers from documents and “AI in Russia” mode
The school template works without AI and doesn’t send parents’ questions to any model. If there are many free-form questions, add the “Answers from documents” template: an AI agent answers from a knowledge base of TXT, MD, CSV, PDF or DOCX up to 15,000 characters. School regulations on websites are often scans, and a scan without a text layer won’t upload — you need a text summary.
A bot created with the school, kindergarten or club templates works in “AI in Russia” mode from the start. In such a bot, AI agent replies, intent recognition and flow building are handled by Yandex models: Alice AI LLM Flash by default, YandexGPT 5.1 Pro as an option. Requests are processed in Yandex Cloud, Yandex request logging is turned off, and foreign models are not used. The mode restricts the AI agent’s requests to Yandex models but does not by itself guarantee that all processing complies with 152-FZ — the legal grounds are determined by the school. The mode is switched on the “AI agents” page. An Alice AI LLM Flash reply costs 1 AI credit, the same as the default models outside the mode: on Basic (150 credits) — up to 150 replies a month, on Business (500) — up to 500. YandexGPT 5.1 Pro costs 3 credits per reply.
Put only public documents into the knowledge base, without lists of students or phone numbers. How data works in the bot — in the article on 152-FZ and chatbots.
What the school bot doesn’t do
The limits are clear before you launch.
- Doesn’t issue certificates or keep an e-diary: it takes the request and gives the ready date; the school office prepares the certificate.
- Doesn’t accept first-grade applications: that’s Gosuslugi. The bot gives the procedure and a link as text.
- Doesn’t post in class chats and doesn’t write first: it replies in a private dialog to those who started the conversation with the bot themselves.
- Doesn’t send photos or files in MAX, Telegram and VK: timetables and memos go as text or a link. Files work only in the website chat.
- A broadcast is text only and goes only to Telegram, MAX and VK: it doesn’t reach the website chat.
Available plans
Price per CHBT bot per month. Free’s 30 conversations are 30 different parents a month across all channels combined: enough to test the flow, not enough for a school. Staff are invited in the “Access” section from Basic. In “AI in Russia” mode an AI agent reply costs 1 credit on Alice AI LLM Flash and 3 on YandexGPT 5.1 Pro.

FAQ
Is this a Sferum integration?
No. The CHBT bot is a separate school bot in MAX, VK and on the website. Class chats and the diary stay in Sferum, while the bot answers repetitive questions and takes certificate requests in a private dialog.
Can a public school connect Telegram?
The law does not directly ban all communication via Telegram, but when performing a state assignment it restricts transferring citizens’ personal data via foreign messengers — and in the bot parents write the student’s surname and class. So for official communication we recommend MAX, VK and the website chat to a public school — one flow serves every channel. A private school can add Telegram.
Who gets certificate requests?
Every operator of the bot: the notification “Certificate (type): student, class” arrives in the open dashboard and as a push notification if enabled. The secretary is invited in the “Access” section from the Basic plan; on Free there is one operator — the owner.
Does the bot send parents’ questions to foreign neural networks?
The school template works without AI. If you add an AI agent, a bot with this template answers in “AI in Russia” mode — on Yandex models in Yandex Cloud, and foreign models are not used in such a bot. The mode only restricts the choice of models and does not guarantee that all data processing complies with 152-FZ.
Can the bot accept a first-grade application?
No. Applications are filed via Gosuslugi. The template has a “First-grade admission” button — add the dates, the list of documents and a link to the admission page on the school website.
