Wildberries order notifications in Telegram and MAX: how to get them and assemble FBS
An FBS seller lives by the clock: an order comes in — it has to be assembled and handed over for delivery on time, otherwise there is a fine and the rating drops. Keeping the Wildberries seller account open all the time for this is inconvenient, so sellers set up notifications in a messenger. We look at how this works in CHBT: what arrives in Telegram and MAX, to whom, with what delay, and how to group assignments into a shipment without opening the marketplace account.
What CHBT knows about your Wildberries store
Once the store is connected with an API key, CHBT checks three things every 10 minutes: new orders without cancellations, unanswered reviews and unanswered questions. Their number for the last check is shown on the “Wildberries” card in the “Marketplaces” section.
Then events go two ways:
- A summary email to the owner — when new orders, reviews or questions appear.
- A message in a messenger — about new Wildberries orders, to the recipients for whom you enabled the “WB orders” type.
CHBT only counts reviews and questions: you cannot answer them from CHBT, that is done in the seller account. There are no chats with Wildberries buyers in CHBT either — the marketplace does not provide them.
Which API key you need
In the Wildberries seller account open “API access” and create a key. For the catalog, the summary and product selection you need the “Content”, “Prices and discounts”, “Statistics” and “Questions and reviews” categories. To assemble FBS assignments add the “Marketplace” category — without it the “WB orders” page will show that the key lacks access.
Use a Basic key: Wildberries rules forbid using a Personal token in cloud services. In CHBT: “Marketplaces” → “Connect the site” → Wildberries → paste the token. CHBT checks it before saving and stores it encrypted.
How fast a notification arrives
Honestly: not instantly. CHBT polls the store every 10 minutes, but Wildberries lets a Basic key request orders no more than once every 3 hours. So a new order may appear in a notification with a delay of up to three hours. For FBS with shipment within a day or two this is usually enough; for express delivery it is not — rely on the seller account there.
If the marketplace asks for a pause because of a limit, the card will show “The site asked for a pause” and the retry time — this is not a breakdown, CHBT will continue on its own.
How to set up notifications in Telegram or MAX
Notifications go through your own bot — the one connected to the project. You do not need a separate bot.
- Connect a Telegram or MAX bot in the “Channels” section if you do not have one yet.
- Open “Notifications in messengers” and choose the bot through which messages will arrive.
- Click “Invite recipient” → “Create link”. Send the link to an employee — they open the bot and press “Start”. If the link does not open, there is a code to enter in the bot manually.
- In the “Recipients” list mark for each person what they receive: “WB orders”, “Payments”, “New applications”, “Conversations”, “Bot status”, “Shop orders”.
A notification recipient does not become a customer of the bot: no conversation is created with them, they do not get into “Contacts” and do not receive broadcasts.
A convenient setup for a small store: the picker gets only “WB orders”, the owner gets “WB orders” and “Bot status” to learn right away if the Wildberries key has stopped working.
FBS assembly on the “WB orders” page
In “Marketplaces” the Wildberries card has a “WB orders” button. There you see new FBS assembly assignments: article number, price, warehouse and creation time. The buyer's address is not shown on the page.
- Tick the assignments (or “Select all”) and click “Group into shipment” — CHBT will create a shipment in the Wildberries account and add the assignments to it.
- If the product requires marking, attach the code: Chestny Znak, UIN, IMEI or GTIN.
- Download the assignment stickers and the shipment QR code for printing.
- When the shipment is assembled, hand it over for delivery — CHBT will ask you to confirm, because the action goes to the real seller account.
“Shipments” shows the shipments created through CHBT. Shipments assembled in the Wildberries account itself will not appear here.
What about reviews and questions?
The number of new unanswered reviews and questions comes in the summary email and is shown on the store card. You answer them in the Wildberries seller account. If a buyer needs help that a review reply cannot give — instructions, a warranty, a replacement — move the conversation to your bot: a QR code on the package insert leads to the Telegram bot, and the “Buyer bot” template answers and creates a deal. Do not promise a gift or money for a review — the marketplace rules forbid it.
What it costs
Connecting Wildberries, the summary of orders and reviews, emails, messenger notifications and the “WB orders” page work on any plan, including Free. A paid plan is needed for the AI sales assistant, which picks products from your Wildberries catalog for the buyer — from Basic, 650 ₽ a month per bot. More on the CHBT for Wildberries page.
How to organize the picker's work around notifications
A notification does not assemble an order by itself — what matters is who receives it and what they do next. A working setup for a small FBS warehouse:
- One person responsible per shift. Enable “WB orders” only for whoever is assembling today. If notifications go to everyone, each person thinks someone else will handle the order.
- Fixed assembly windows. Given the delay of up to three hours, it is easier to assemble two or three times a day on a schedule and treat the notification as a signal that “there is work today”, not “run to the shelf”.
- One shipment at a time. On the “WB orders” page tick all new assignments and group them into one shipment — fewer stickers and one handover for delivery.
- Marking in advance. If the product is marked, keep the Chestny Znak codes at hand — without them an assignment with marking cannot be assembled.
Why notifications do not arrive
- The recipient did not press “Start”. The invitation link works only after the bot is started. Check that the employee is in the “Recipients” list.
- The “WB orders” type is not ticked for this recipient.
- The Wildberries key was rejected. The store card will show an error, and the owner will get an email. Issue a new key and paste it again.
- The marketplace asked for a pause — the notification will arrive after the retry.
- The notifier bot is disconnected or its token is broken — then no notifications go out at all. Enable “Bot status” for a recipient to learn about this right away.
What CHBT does not do with Wildberries orders
So that you do not expect too much: CHBT does not message the buyer about the status of their Wildberries order — the buyer is not a customer of your bot, and you do not have their contact. It does not show FBO stock and does not manage prices. It does not answer reviews and questions. Shipments assembled in the Wildberries account are not visible on the “WB orders” page. A connection with the buyer appears only if they themselves came to your bot — for example, via the QR code on the package insert.
